About The Role
We’re looking for a highly organised and customer-focused Administrator (internally referred to as a Customer Support Administrator). You’ll play a key role in ensuring accounts are administered accurately, SLAs are met and every customer interaction reflects the high standard of service we pride ourselves on.
This is a fast-paced, process-driven administrative role where attention to detail, strong organisational skills and the ability to manage high volumes of documentation are essential. You’ll be working as part of a collaborative team of seven Administrators, supporting each other to deliver a smooth and efficient service.
What You’ll Be Doing
· Ensuring all administration is completed accurately and within agreed SLAs.
· Handling high volumes of vehicle documentation, including processing and filing of V5 documents securely and accurately.
· Managing and organising physical paperwork, including filing documents into storage containers and maintaining clear records.
· Handling and logging loose vehicle items, ensuring they are tracked and stored correctly.
· Managing vehicle key storage and maintaining accurate key tracking records via internal spreadsheets.
· Updating and maintaining spreadsheets and internal systems with a high level of accuracy.
· Processing daily post and ensuring documents are sent to the correct customers on time.
· Booking vehicles into multiple locations and updating systems accordingly.
· Using multiple internal and external customer databases and systems.
· Liaising with other sites and auction locations to ensure vehicles transition smoothly to sale.
· Responding to a high volume of customer emails in a timely and professional manner.
· Acting as a point of contact for customer enquiries via email and telephone (shared across the team, with a relatively low call volume).
What We’re Looking For
· Strong administrative experience, ideally within a fast-paced or process-driven environment.
· Excellent attention to detail, with experience of handling high volumes of documentation accurately.
· Confident and accurate data entry skills, including maintaining records in spreadsheets and internal systems.
· Well-organised with the ability to manage multiple tasks and meet tight deadlines.
· Experience working within structured processes, regulations, or SLAs.
· Excellent written and verbal communication skills, particularly when managing email enquiries.
· Previous experience of handling queries and complaints professionally.
· Flexible and proactive, with the ability to adapt quickly in a changing environment.
