About the role
Finance & Office Assistant
Angmering
Salary:£29,000 – £33,000 + quarterly bonus
A long-standing SME business with a strong track record of success is currently seeking an experienced Finance & Office Assistant to join them in a varied, growth driven role.
Having built solid foundations over recent years, the business is now in an exciting phase of continued growth, making this a great time to join. Combining core bookkeeping with general office and business support, this is an ideal opportunity for someone who enjoys variety and being at the heart of a busy office. You’ll be part of a friendly, supportive team within a company known for its warm, collaborative culture, where people are valued and development is encouraged.
The role
This is a varied, hands-on role that sits across both the finance function and the wider business support functions. For your finance responsibilities you’ll report to the Finance Director, taking ownership of the day-to-day processing and administration of the company’s financial transactions: making sure customer payments are allocated accurately, suppliers are paid on time, finance queries are handled promptly and outstanding debts are actively managed.
For your office assistant duties you’ll report to the Managing Director, providing practical administrative support that keeps the office running smoothly and helps the wider business operate efficiently. Working across both areas, you’ll be a key point of contact for colleagues and gain broad exposure to how the business runs.
Key responsibilities
Finance (reporting to the Finance Director)
Sales Ledger & Credit Control
- Allocating customer receipts daily and reviewing and issuing sales invoices
- Processing card payments by telephone, pay-by-link and online
- Chasing overdue accounts by phone and email, and supporting the reduction of aged debt
- Resolving customer account queries and processing refunds
Purchase Ledger
- Collating and posting purchase invoices, ensuring payments stay within terms
- Matching invoices to purchase orders and resolving supplier queries
- Reconciling supplier statements and maintaining supplier records
- Preparing BACS runs and ad-hoc payments for approval
Banking & General Finance Support
- Accurately recording all cash movements and assisting with bank reconciliations
- Maintaining accurate accounting records and helping manage the finance inbox
- Supporting the Assistant Accountant and Finance Director with ad-hoc tasks
Office & Business Support (reporting to the Managing Director)
- Acting as a first point of contact for visitors and incoming calls, directing enquiries to the right person
- Assisting with basic HR administration, including new starter paperwork and holiday records
- Managing incoming and outgoing post, couriers and deliveries
- Ordering and monitoring office supplies, stationery and consumables
- Diary management, arranging meetings and booking rooms, travel and accommodation as required
- Preparing letters, documents, spreadsheets and presentations
- Liaising with suppliers and contractors for office services such as cleaning, maintenance and IT
- Helping to keep the office environment tidy, organised and welcoming
- Supporting the Managing Director and colleagues across the business with general administrative tasks and projects
What you’ll bring
- Sound experience in bookkeeping and financial administration, ideally combined with general office or administrative experience
- Strong attention to detail, with the ability to spot discrepancies and investigate issues
- Good Excel skills and confident use of Word and Outlook. Experience of an ERP level system is also advantageous
- Excellent communication and interpersonal skills, with a professional and friendly telephone manner
- The ability to manage a varied workload across different functions, balance priorities from more than one manager and work independently to deadlines
- A proactive, flexible and organised approach, with a willingness to get involved wherever help is needed
Benefits
- Quarterly bonus scheme
- 23 days’ holiday plus bank holidays, with a holiday buyback scheme
- Study support towards AAT or other professional qualifications for the right candidate, if desired
- Company-funded Health Cash Plan
- Employee Assistance Programme
- Cycle-to-work scheme
This role is primarily office-based, with flexible and remote working arrangements available ad hoc.
