We’re looking for a confident, organised and proactive Executive Assistant to join a successful business based in Inverclyde. This is an excellent opportunity for someone with experience as a Personal Assistant, Administrator, Office Coordinator or junior Executive Assistant who is ready to take on greater responsibility and work closely with a senior member of the business.
You’ll be responsible for keeping their busy working day organised, coordinating meetings and priorities, preparing documents and making sure important actions stay on track. Responsibilities in your new role as Executive Assistant
You’ll provide day-to-day administrative and organisational support to a senior member of the business, helping them manage their schedule, workload and priorities. Your responsibilities will include:
- Managing diaries, meetings and appointments
- Coordinating travel and meeting arrangements
- Monitoring emails and correspondence
- Preparing reports, presentations and meeting documents
- Taking meeting notes and following up on actions
- Organising internal and external meetings
- Liaising professionally with clients, colleagues and suppliers
- Processing expenses, invoices and general administration
- Maintaining accurate records and documentation
- Handling confidential information professionally
- Helping to keep deadlines, actions and priorities on track
- Providing additional administrative support when required
Your personality, experience and qualifications
You’ll have previous experience within an administration, Personal Assistant, Executive Assistant or office support role and be ready to take on more responsibility.
You’ll have strong written and verbal communication skills, excellent attention to detail and confidence using your initiative to solve problems and keep things moving. You should be comfortable managing several priorities at once and adapting when schedules or requirements change.
A professional and approachable manner is essential, as you’ll communicate with people across different levels of the business. A full UK driving licence and access to your own vehicle are essential, and you must be comfortable working full-time on-site.
