Supply Chain Coordinator

The Position… Supply Chain Co-ordinator……  

The Supply Chain Co-ordinator will support the Head of Supply Chain by managing key activities aligned with our company’s objectives and targets.

This role is responsible for supporting end-to-end supply chain operations, including order management, shipping coordination, inventory control, and maintaining data integrity within systems. The Co-ordinator ensures the timely and accurate flow of materials, products, and documentation between suppliers, factories, warehouses, and customers across multiple regions.

Key Responsibilities

Order & Shipment Management

• Coordinate FE shipping calls, ensuring clear and timely communication between freight forwarders, factories, and warehouses.
• Manage Sales Orders (SOs) and Purchase Orders (POs) within SAP, including creation, updates, and transfers between factories and warehouses.
• Handle customer bookings and accurately confirm delivery schedules.
• Process deliveries in SAP, including retrieving and uploading Proof of Delivery (POD) documentation.
• Monitor and update container inbound status to maintain shipment visibility.

Inventory & Stock Control

• Post Goods Received Notes (GRNs) and manage stock entries within SAP.
• Conduct stock transfers and perform month-end stock reconciliations for the UK and Germany.
• Maintain the Cubic Metre (CBM) Calculator to support effective shipment planning.
• Oversee warehouse packaging and labelling, including cartons, totes, and labels.
• Maintain warehouse non-conformance logs and promptly follow up on corrective actions.

Data Management & Reporting

• Manage New Product Set-Up within SAP and GS1 systems.
• Resolve Master Data queries and maintain the Master Quote Sheet.
• Record and monitor Material Authorisations (MAs) and component logs, such as integrated circuit (IC) chips.
• Prepare and format third-party logistics (3PL) invoices, including ITD and UPS invoices.
• Create Commercial Invoices and Packing Lists for international shipments.

Continuous Improvement & Support

• Support the implementation of process improvements to enhance supply chain efficiency and accuracy.
• Collaborate with internal teams, 3PL partners, and suppliers to resolve logistical and data-related issues.
• Ensure adherence to company procedures and documentation standards.

Key Skills & Qualifications

• Experience using SAP or a comparable ERP system.
• Strong understanding of supply chain processes, including order management, logistics, and inventory control.
• Exceptional attention to detail and accuracy in data management.
• Proficient in Microsoft Excel and general data reporting.
• Excellent communication and coordination skills.
• Ability to work independently and manage multiple priorities within tight deadlines.
• Previous experience in a manufacturing or logistics environment is desirable.

• Accuracy of SAP data and documentation.
• On-time shipment and delivery performance.
• Reduction in non-conformances and stock discrepancies.
• Timely completion of reconciliations and reporting.
