The firm has an excellent reputation for providing specialist legal services to a diverse client base, including businesses, property developers, farmers, landowners, entrepreneurs and private individuals.
This is a varied, hands-on role suited to an organised and proactive individual who enjoys working with people and takes pride in ensuring an office runs efficiently. Acting as a key point of contact for clients and visitors, you will play an important role in delivering a professional front-of-house experience while providing essential administrative and operational support to colleagues across the business.
Working closely with the Operations Team Leader and Manager, you will help maintain the day-to-day running of the Nottingham office, coordinate facilities requirements and respond to the needs of fee earners and support teams.
Key Responsibilities
Front of House and Client Experience
- Acting as the first point of contact for clients and visitors, ensuring a welcoming and professional experience.
- Responding to client enquiries and directing queries to the appropriate colleagues.
- Managing meeting room bookings and ensuring rooms are prepared, presentable and equipped ahead of meetings.
- Supporting the smooth running of meetings and other office activities.
Office Administration and Support
- Managing incoming and outgoing post, ensuring correspondence is distributed and dispatched promptly.
- Monitoring and replenishing office supplies, including printer paper, stationery and other essential materials.
- Responding to ad hoc administrative requests from fee earners and colleagues across the firm.
- Providing general administrative support to the Operations team and assisting with day-to-day office requirements.
- Helping ensure office records, processes and shared areas are maintained to a high standard.
Facilities and Workplace Coordination
- Coordinating facilities requests and helping ensure the office remains safe, comfortable and fully operational.
- Arranging workplace equipment and adjustments, including standing desks and other ergonomic requirements.
- Coordinating desk assessments and risk assessments, with appropriate training and guidance provided.
- Liaising with colleagues and relevant providers to address maintenance, equipment and facilities issues.
- Identifying and reporting issues that may affect the working environment, health and safety, or the smooth running of the office.
Team and Operational Support
- Working closely with the Operations Team Leader and Manager to support the effective delivery of office services.
- Providing responsive, practical support to fee earners and business support teams.
- Assisting with operational tasks, projects and other duties as required.
- Following established office procedures and maintaining appropriate standards of confidentiality and professionalism.
About You
We are looking for someone who is approachable, well organised and comfortable balancing a variety of responsibilities in a busy professional environment.
You will ideally have:
- Previous experience in an office administration, operations, facilities, reception or customer service role.
- Strong communication and interpersonal skills, with a professional and confident manner.
- Excellent organisational skills and the ability to manage competing priorities.
- A proactive approach, with the confidence to respond to requests and resolve day-to-day issues.
- Good attention to detail and a practical, solutions-focused mindset.
- Confidence using Microsoft Office and standard workplace systems.
- The ability to work collaboratively with colleagues at all levels of the business.
- An understanding of the importance of confidentiality, professionalism and excellent client service.
Previous experience within a legal or professional services environment would be beneficial but is not essential. Training and guidance will be provided for the relevant workplace assessments and operational processes.
What’s on Offer?
- A salary of up to £30,000 per annum, depending on experience.
- The opportunity to join a respected legal business.
- A varied role combining client-facing responsibilities, administration and office operations.
- Training and support to develop your operational and workplace assessment knowledge.
- The opportunity to work closely with colleagues across the firm and make a meaningful contribution to the office environment.
