About the role
HR Assistant / HR Adviser
Location: Norwich
Working pattern: Hybrid
Salary: £29,000 – £35,000 per annum (DOE)
Employment type: Temporary(until January 2027)
Paragon Resource Solutions are currently recruiting for an experienced HR Assistant / HR Adviser to join our client’s People Team.
This is an excellent opportunity for an HR professional who is confident with HR administration but also has the knowledge and confidence to provide first-line HR advice and support lower-level employee relations casework.
We are looking for someone who sits comfortably between a traditional HR Assistant and HR Adviser. You will need to be organised and hands-on, with strong attention to detail, while also being confident advising managers and colleagues on straightforward HR processes and issues.
The successful candidate will be resilient, proactive and comfortable working independently. You will also need to be confident asking for support when dealing with more complex or sensitive matters.
The Role
As an HR Assistant / HR Adviser, you will provide a professional and responsive HR service, supporting colleagues and managers across a range of people processes.
You will be responsible for delivering accurate HR administration while also providing practical, first-line advice on HR policies and processes.
The role will include supporting lower-level employee relations matters, such as absence management, and escalating more complex issues to the appropriate member of the wider HR team.
You will work across a number of HR and recruitment systems, so being comfortable learning and navigating different IT systems is important.
Key Responsibilities
-Provide day-to-day HR administration and first-line HR advice to managers and employees.
-Act as a point of contact for general HR queries, providing clear and practical guidance on HR policies and processes.
-Support managers with straightforward employee relations matters, including absence management, performance, conduct and other people-related issues.
-Support lower-level casework and ensure appropriate records and documentation are maintained.
-Recognise when an issue is outside the scope of the role and escalate appropriately.
-Manage HR administration across the employee lifecycle, ensuring employee records and systems are accurate and up to date.
-Support recruitment and onboarding processes.
-Prepare and maintain HR documentation, reports and employee information.
-Ensure HR processes are followed consistently and in line with relevant policies and legislation.
-Maintain confidentiality when dealing with sensitive employee information.
-Work closely with the wider HR team to provide a consistent and effective service.
-Use HR systems and workflow tools to manage tasks, track activity and ensure processes are completed.
-Identify opportunities to improve processes and the employee experience.
-Support wider HR projects and initiatives as required.
HR Systems
The successful candidate will be expected to work across a range of HR, recruitment and workflow systems.
Previous experience of all of these systems is not required, but you should be comfortable using IT systems and able to learn new platforms quickly.
Systems used across the organisation include:
HR & Workflow Systems
Planner – used to allocate work, manage HR administration and provide reminders of key steps within HR processes.
iTrent – HR and employee management system.
Talent – HR information system.
Halo – ticketing system used to manage requests and queries.
SharePoint – used for document management, employee files and HR records.
Recruitment Systems
Teamtailor – recruitment system supporting the recruitment and advertising process.
Networx – recruitment system.
Eploy – recruitment system.
You will not be expected to have experience with every system listed. The key requirement is confidence with technology, the ability to learn new systems quickly and a willingness to work across different platforms.
About You
You will ideally have experience in an HR Assistant, HR Adviser, HR Administrator or generalist HR role.
You will be:
-Competent and confident in HR administration, with excellent attention to detail.
-Confident providing first-line HR advice on straightforward policies and processes.
-Comfortable supporting managers with day-to-day people issues.
-Able to undertake lower-level employee relations casework, particularly around absence management.
-Resilient, with the ability to deal professionally with challenging situations.
-Comfortable managing competing priorities and a varied workload.
-Proactive and able to use your own initiative.
-Confident working independently but equally comfortable asking for help when needed.
-Able to recognise when an issue requires escalation or additional support.
-A clear and confident communicator who can build effective relationships with managers and colleagues.
-Comfortable handling confidential and sensitive information.
-Comfortable using new IT systems and learning unfamiliar software quickly.
-Flexible and adaptable, particularly in an environment where training and support may be limited.
Skills & Experience
Ideally, you will have:
-Previous experience working in an HR Assistant, HR Adviser, HR Administrator or similar HR role.
-Good knowledge of HR processes and employment practices.
-Experience providing guidance to managers or employees on HR policies and procedures.
-Experience supporting employee relations activities, particularly absence management.
-Strong administrative and organisational skills.
-Experience using HR systems, recruitment systems or workflow/ticketing platforms.
-Good working knowledge of Microsoft Office 365.
-The ability to interpret HR policies and apply them appropriately.
-Excellent communication and interpersonal skills.
-A professional approach to confidentiality and sensitive information.
-The ability to work independently and manage priorities effectively.
-The Ideal Level of Experience
This role is designed for someone who sits between a traditional HR Assistant and a more experienced HR Adviser.
You do not need to be a fully-fledged HR Adviser who is expected to manage complex employee relations cases independently. Equally, this is not a purely administrative position.
This could be an ideal next step for an experienced HR Assistant looking to develop their advisory skills, or an HR
Adviser who enjoys being hands-on and operational.
