About the role
Admin Officer ( Midlands-focused)
Location: Birmingham (remote working available once fully trained) Monday-Friday 9am-5pm Pay rate:£13.71ph

Our Client is hiring for a Admin Officer to support the Head of Operations-helping keep diaries running smoothly, meetings organised, and communication flowing effectively across stakeholders.
What you'll be doing:
* Manage the day-to-day diary for the Head of Operations, including keeping appointments up to date
* Anticipate issues that may arise within the schedule and use your initiative to minimise disruption when priorities change at short notice
* Ensure prompt, effective communication between senior leaders and stakeholders (including private office and internal teams)
* Maintain and manage Outlook contacts for relevant stakeholders, private office contacts, and internal staff
* Update unit databases to capture key information (e.g., leave sheets, staff movement sheets)
* Arrange meetings, including preparation, taking minutes/notes, and producing high-quality written outputs
* Support timetabled meetings by keeping attendees informed of any changes
* Provide flexible cover and general administration support to directors/heads/business managers as requested
* Support data collation and responses to stakeholders when required
* Contribute to a culture that promotes equality and values diversity
What you'll bring:
* Experience (or strong confidence) providing routine administrative support following well-established procedures
* A proactive approach-spotting potential diary conflicts and acting quickly to keep things moving
* Strong communication skills with the ability to work effectively with senior stakeholders
* Confidence using Microsoft tools including Word, Excel, Outlook and PowerPoint (or equivalent)
* Discretion and a high level of confidentiality when supporting senior leaders
* Capability to use information to support decisions and improve how work is carried out
* An ability to work collaboratively and deliver at pace, even when priorities shift
Additional information:
* There may be reasonable changes or additional tasks of a similar level, based on operational needs
* All candidates will be subject to security and identity checks prior to starting
* External candidates will complete a six-month probation period (internal candidates will complete probation if they haven't already served it within HMPPS)
