About the role

  • Position: Events Administrator
  • Salary: £27,000 – £28,000 per annum plus good pension scheme, life assurance and 28 days annual leave (including bank holidays). An additional 3 days of annual leave are given due to Christmas shutdown
  • Location: Haywards Heath, West Sussex
  • Hours: Monday – Friday, 09:00-17:00, office based role with flexible working
  • Role based in outskirts of Haywards heath with free parking available for all staff on site. Due to workplace location it is essential to be a driver and have your own transport. Rural and beautiful office/workplace.

An exciting opportunity has arisen for an organised and customer-focused Events Administrator to join a renowned organisation.

Supporting a wide range of events including exhibitions, conferences, corporate functions, shows and festivals, you’ll play a key role in ensuring every event is delivered seamlessly from initial booking through to successful completion. The role – Events Administrator

As an Events Administrator, you will be the main point of contact for clients and event organisers, coordinating all aspects of event planning and delivery whilst ensuring an exceptional customer experience.

Working closely with internal teams, suppliers and clients, you will support events from enquiry stage through to post-event evaluation.

Key Responsibilities include:

  • Act as the primary contact for event organisers from booking through to event completion.
  • Support venue tours and site visits with prospective clients.
  • Prepare and co-ordinate event documentation and operational plans.
  • Build strong relationships with clients, suppliers and internal stakeholders.
  • Deliver outstanding customer service throughout the event lifecycle.
  • Manage event schedules, diaries and booking information.
  • Coordinate logistics with internal departments and suppliers.
  • Arrange equipment, furniture, signage and event resources.
  • Coordinate health & safety paperwork, risk assessments and event plans.
  • Manage the Event Centre inbox and respond to enquiries.
  • Ensure compliance with venue procedures and event regulations.
  • Raise deposits, interim invoices and final invoices.
  • Monitor payment schedules and outstanding balances.
  • Maintain event-related financial records and additional service charges.
  • Welcome clients and act as the key on-site contact during events.
  • Support event setup, delivery and breakdown activities.
  • Conduct pre and post-event inspections.
  • Resolve operational issues quickly and professionally.
  • Attend very occasional evening and weekend events – fully expensed

Experience, knowledge and competencies required:

  • Experience within events, hospitality, customer service or administration.
  • Excellent organisational and time-management skills.
  • Strong communication and relationship-building abilities.
  • The ability to manage multiple tasks and deadlines simultaneously.
  • A high level of attention to detail.
  • Good Microsoft Office skills including Outlook, Word and Excel.
  • A proactive and solutions-focused approach.
