Administration Officer – Level 3

Location: Russell House, Churton Road, Rhyl, Denbighshire
Grade: Grade 4
Contract: Temporary
Service: Denbighshire County Council

About the Role

Denbighshire County Council is looking for an experienced Administration Officer to provide administrative, organisational and financial support within the service.

The main focus of this position will be taking accurate minutes for complex meetings, involving up to 12 participants from different agencies across community venues in Denbighshire. The successful candidate will need excellent listening, written communication and organisational skills, with the ability to accurately record discussions, decisions and actions.

Key Responsibilities

  • Attend and take accurate minutes of complex multi-agency meetings.
  • Record key discussions, decisions and agreed actions clearly and accurately.
  • Arrange, coordinate and provide administrative support for meetings and events.
  • Manage manual and electronic records and information systems.
  • Collate information and produce reports, documents and spreadsheets.
  • Provide general administrative and organisational support to staff.
  • Use Microsoft Word, Excel, databases, spreadsheets and other relevant IT systems.
  • Process invoices, coding sheets and update budget monitoring spreadsheets.
  • Provide guidance and administrative support to colleagues and other service users.
  • Maintain accurate records and ensure confidentiality at all times.
  • Provide cover for other administrative colleagues when required.
  • Follow relevant council policies, procedures and codes of practice.
  • Participate in training and ongoing professional development.
  • Undertake other relevant duties as required by the Line Manager.

Essential Experience & Skills

  • Experience of developing, managing and operating administrative systems.
  • Strong minute-taking experience, ideally involving complex or formal meetings.
  • Excellent written and verbal communication skills.
  • Strong literacy and numeracy skills.
  • Excellent IT skills, including Word, Excel, spreadsheets and databases.
  • Ability to organise and prioritise a varied workload.
  • Ability to work effectively both independently and as part of a team.
  • Experience handling confidential and sensitive information.
  • Awareness of relevant policies, procedures, codes of practice and legislation.
  • Previous local government experience is desirable.

Qualifications

  • 5 GCSEs at Grades A–C or equivalent, including Maths and English.
  • NVQ Level 3 or equivalent qualification/experience in a relevant discipline.
  • ECDL or equivalent IT qualification, or willingness to obtain this within 18 months.

Additional Information

  • The role is based at Russell House, Rhyl.
  • Meetings may take place at different community venues across Denbighshire.
  • The successful candidate will ideally have their own transport.
  • An ability to speak Welsh is desirable, alongside an understanding of Welsh language and culture.
